Client Success + Operations Manager

Brandify is a creative agency, working with market-leading brands, impactful entrepreneurs and influencers. We create brands and websites that are not only beautiful, but are infused with personality and built with sales strategy that highly converts. We’re currently going through a rebrand and transitioning everything over from Angelique Vestil to Brandify.

OVERVIEW:

We are seeking a proactive and dedicated Client Success + Ops Manager to join our growing creative design agency. Your role is pivotal in ensuring our clients feel valued, supported, and delighted with their experience from start to finish. You will play a key part in maintaining seamless operations and delivering exceptional client experience, while also being a key player in growth initiatives. You will serve as our leadership team’s second brain, a trusted advisor to our team + clients, and should be able to bounce ideas back and forth.

STARTING RATE: $12 - $18 USD per hour (negotiable & willing to pay higher rates based on experience)
HOURS: 5 - 15 hours per week (with room to increase hours over time)
TIME ZONE PREFERENCE: USA, UK, or Europe preferred (but accepting candidates in other time zones)
START DATE: Jan 2025


About The Role


RESPONSIBILITIES:

  • Client Relationship Management: Serve as the primary point of contact for our clients, responding to inquiries, jumping on calls, and providing regular updates on project progress to keep them informed and engaged.

  • Project Coordination: Work closely with our creative director Angelique and our design team to ensure projects are on track, from initial concept to final delivery. Oversee timelines, gather client feedback, and facilitate smooth communication between the client and our team.

  • Brand Experience Development: Assist in envisioning and developing brand experiences that align with client goals and our creative vision. Ensure each brand interaction enhances client satisfaction and aligns with our agency’s high standards.

  • Support Growth Initiatives: Assist in planning and executing growth initiatives and launch campaigns. Provide logistical and administrative support to ensure successful execution and impactful results.

  • ​​Operations Management: 

    • Streamline and optimize day-to-day operations to improve efficiency and ensure the smooth running of all processes.

    • Develop and implement operational policies and procedures that align with company goals.

    • Oversee resource management to ensure projects have the necessary tools and support.

    • Monitor and evaluate operational performance and suggest areas for improvement.

  • Administrative Support: Handle scheduling, email management, and the organization of client files and brand assets. Ensure all materials are easily accessible and well-organized in platforms like Google Workspace.

  • Feedback and Improvement: Gather client feedback post-project and identify areas for improvement. Implement actionable insights to enhance client satisfaction continuously.

QUALIFICATIONS:

  • Strong Communication Skills: Excellent written and verbal communication skills in English, with a knack for crafting clear and personable client interactions.

  • Organizational Prowess: Highly organized with the ability to prioritize tasks and manage multiple projects simultaneously without losing attention to detail.

  • Proactive Problem-Solver: Self-sufficient and proactive, capable of foreseeing potential issues and addressing them before they escalate.

  • Tech-Savvy: Proficient in using tools such as Clickup, Slack, Google Workspace, and familiarity with creative platforms like Adobe CC is a plus.

  • Client-Centric Mindset: Passionate about delivering exceptional customer service and creating memorable client experiences.

BONUS QUALIFICATIONS:

  • 1-2 years experience with branding, web design, or product design either for another agency or for your own business, and are capable of supporting design-related initiatives.

  • Understanding of web development processes to facilitate smoother collaboration with technical teams.

  • Project management or ops related work experience for another design or marketing related startup/small business. 

  • Proficiency in Clickup, Slack, Google Workspace, and other design/website softwares such as Adobe CC, Figma, Squarespace, Wordpress, etc.

  • Passion for health, nutrition, and wellness.

CRITERIA:

  • The majority of our clients are based in the USA, so you must be willing to work/overlap with American working hours. Ability to work US/UK/Europe time zones will be favored. 

  • The candidate will go through a 3-month probationary period, before deciding if a long-term position with our company is appropriate.

  • We have a global team & client base that is spread across the US, Europe & Asia so you must be willing to adjust call times as and when necessary. 

SCHEDULE & AVAILABILITY:

  • Mon-Fri: Slack check-ins every morning and evening, and throughout day to ensure all clients are nurtured

  • Set weekly, monthly and quarterly check ins + team meetings

  • Eventually, this may transition to a full time position
